BizTrack is a smart business management app designed for small businesses, farms, restaurants, and shops. It helps owners and staff track income, expenses, inventory, and daily activities.

📋 Information We Collect

We collect only the information necessary to provide BizTrack's features:

• Account Information: Email address and password (encrypted) for authentication
• Business Data: Business name, currency preference, language preference
• Transaction Data: Income, expense, funds in/out records you enter
• Activity Data: Daily farm/business activity logs you record
• Inventory Data: Category names, stock quantities you manage
• Staff Data: Staff member names added by business owner
• Voice Input: Processed temporarily to convert speech to text (not stored)
• Bill Images: Processed temporarily for scanning (not stored)

🔒 How We Use Your Information

Your data is used exclusively to provide BizTrack's services:

• Display your business transactions and reports
• Calculate income, expenses, and profit summaries
• Manage inventory and stock levels
• Enable staff members to log transactions under your business
• Generate and email reports to your registered email
• Send low stock notifications

We never use your data for advertising, profiling, or any purpose beyond the app's core functionality.

☁️ Data Storage & Security

Your data is securely stored using Supabase (PostgreSQL database hosted on AWS in Singapore region).

• All data is encrypted in transit using HTTPS/TLS
• Passwords are encrypted and never stored in plain text
• Row-level security ensures each business can only access their own data
• Staff members can only access data within their assigned business

🤖 AI Features (Voice & Bill Scan)

BizTrack uses AI services to power voice input and bill scanning:

• Voice Input: Audio is sent to OpenAI Whisper API for transcription. Audio is processed in real-time and not stored by us or OpenAI beyond the API call.
• Bill Scanning: Bill images are sent to Anthropic Claude API for text extraction. Images are processed in real-time and not stored.
• Both services are used solely to fill in transaction details — the extracted data is stored only in your BizTrack account.

👥 Staff & Multi-User Access

When a business owner invites staff:

• Staff can only view and add transactions within the owner's business
• Staff cannot access owner's financial summaries or dashboard (unless permitted)
• Inventory access for staff is controlled by the owner
• The owner can remove staff access at any time

📤 Data Sharing

We do not sell, trade, or share your personal data with third parties, except:

• Supabase: Database hosting provider (data processor)
• OpenAI: Voice transcription (temporary, not stored)
• Anthropic: Bill scanning and AI parsing (temporary, not stored)
• Legal requirements: If required by law or court order

🌍 International Users

BizTrack is available in 17 languages and used worldwide. Your data is stored in Supabase's Singapore region (AWS ap-southeast-1). By using BizTrack, you consent to your data being stored in this region.

🗑️ Data Deletion & Account Removal

You have full control over your data:

• You can delete individual transactions from the app at any time
• To delete your entire account and all associated data, contact us at radhika.bachina@gmail.com
• Upon account deletion, all your business data, transactions, and staff records will be permanently removed within 30 days

👶 Children's Privacy

BizTrack is designed for business use and is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.

🔄 Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes through the app. Continued use of BizTrack after changes constitutes acceptance of the updated policy.
